Best Practice for Keeping Organized using Sample Trips

Welcome! In this best practices video, we'll explore the recommended method for organizing Sample Itineraries. By following these guidelines, you'll streamline the process of sharing samples and effortlessly update your sample list as you create more content in Oasis.

1. To get started, create a new Lead Booking. You can do this by either navigating to the left side column, under Leads, and clicking Create. Alternatively, click the Quick Add button in the top right and select Create Lead from the dropdown shade.

2. Now create a new Lead Booking called "Master Sample Trips", or any other title you wish to house all your Sample Trips.

3.  This lead booking will house all your sample trips, so you can easily find them and share the sample itineraries with prospective clients. Once the Master Sample Trips lead has been created, you can add future trips you want to use as samples.

4.  Next, Navigate to the Trip you want to use as a sample.

5.  Now hit the Copy button in the top right.

6.  In the popup, locate "Master Sample Trip", or the name you've designated for yours. Below, you have the option to also copy over Content, Costs, and Flights. Simply click "Copy" to add it to the Master Sample Trip.

7.  Now the Copy of your Trip is assigned to the Master Sample Trip Lead Booking.

8.  Next, update the Trip Name, to take out the "Copy of" part, or change the trip name to something else entirely.

9.  Next, update the Trip Status to "Sample." This action enables you to share this trip with prospective clients and removes dates from view.

10.  Review the itinerary to ensure it's polished for the sample view. Remove exact flight times, any client-specific verbiage, or past client information. Additionally, you can include internal notes on pricing, availability or seasonality in the Detail View notes section, which is private and not visible in the description section.

11.  Choose the Sample View at the top of the Trip to send sample itineraries to prospects. Simply share the corresponding URL link.

12.  When you're ready to duplicate the Sample Trip for a new lead, simply click the Copy button on the trip.

13. Next, link it to the lead booking and include any content, cost, or flight details you deem necessary. Click "Copy" to add it to the lead. You'll then be directed to the copied trip, where you can start making adjustments as necessary.

14.  Finally, head over to the Trips tab in the left column and click on Search. From there, filter by selecting "Sample" in the Status field. It's highly recommended to set a timeframe, such as every 3-6 months, to keep the list of samples up to date and to spot any new trips you believe would be great additions.
