How to Export and Navigate Reports

    Reports provide essential insights that help inform decisions, track performance, and highlight trends. This guide will walk you through the process of exporting reports and explain the different types of reports available. By understanding these reports, you'll be better equipped to leverage data for more effective decision-making and operational improvements.

Step 1: Choose a Report to Export


Click on the Reports tab on the left-hand menu. From there, you can select the report you wish to export. The available reports will be tailored to your role and permissions, ensuring you access only the information relevant to your specific responsibilities. Each report offers valuable insights into key aspects of your operations, allowing you to focus on the areas that matter most.




Step 2: Choose to Export to CSV or Excel


Decide whether you want to export your report in CSV (Comma Separated Values) or XLS (Excel format). 


  • Export CSV - CSV is a plain text format that separates values with commas, making it ideal for exporting raw data. This format is widely compatible and is often used for transferring information across platforms, importing into databases, or sharing data where formatting isn't required.

  • Export XLS - XLS preserves your data's structure, including cell formatting, colors, and borders. It’s ideal for detailed analysis in Excel, especially when you need to maintain the visual layout, apply formulas, or use advanced features like sorting and filtering.

Sales Reports


Sales Reports offer a comprehensive view of your performance, tracking key metrics across time periods, countries, suppliers, and users. These reports help you adjust strategies, identify trends, and manage relationships, ensuring you stay on track with your sales goals and effectively forecast future outcomes.


  • Closed Sales By Country (Won and Confirmed)

    • Filters: Date Range (>= Date From, <= Date To)

    • Use Case: Identify top-performing countries to focus your sales efforts.

  • Closed Sales By Month

    • Filters: Year

    • Use Case: Monitor monthly sales trends to adjust your sales strategies.

  • Closed Sales By Month (Won and Confirmed)

    • Filters: Year

    • Use Case: Review confirmed sales on a monthly basis to identify trends and adjust your approach.

  • Closed Sales By Month By User

    • Filters: Year, Month 

    • Use Case: Evaluate the performance of individual team members on a monthly basis to set targets and support improvements.

  • Closed Sales By Supplier (Date Range)

    • Filters: Date Range (>= Date From, <= Date To) 

    • Use Case: Track supplier-specific performance to optimize vendor relationships.

  • Closed Sales By Year

    • Filters: N/A

    • Use Case: Evaluate annual performance and set future sales targets.
       

  • Closed Sales By Year By User

    • Filters: Year 

    • Use Case: Compare individual yearly performance to recognize top performers and address underperformance.

  • Cost Types (Date Range)

    • Filters: Date Range (>= Date From, <= Date To)

  • Cost Types By Year

    • Filters: Year 

    • Use Case: Understand annual cost patterns and prepare for future budgeting.

  • Individual Sales (Won & Confirmed - Trip Start Date)

    • Filters: Date Range (>= Date From, <= Date To), Current User 

    • Use Case: Track individual confirmed sales based on trip start dates to manage your workload effectively.

  • Individual Sales (Won & Confirmed)

    • Filters: Date Range (>= Date From, <= Date To), Current User

    • Filters: N/A

Leads Reports


Leads reports help you track and analyze your client acquisition efforts. They provide information on new clients, lead conversion rates, and the effectiveness of different sales stages.



  • Client List (By Date Added)

    • Filters: Date From (>= Date From)

    • Use Case: Keep track of new clients and assess the effectiveness of your lead generation strategies.

  • Client List - Trip Start and Sales Stage

    • Filters: Date Range (>= Date From, <= Date To), Sales Stage 

    • Use Case: Monitor the progress of clients based on trip start dates and sales stages to ensure smooth transitions through your sales pipeline and identify any bottlenecks.

  • Leads Throughput (Past Sales Stage By Time)



Financials Reports


The Monthly Summary report helps you monitor client payments by tracking bills issued and payments received over specific time periods. It enables you to quickly identify discrepancies and maintain smooth financial operations by comparing totals.

Metrics reports provide key insights into close rates by lead source, destination, and user, helping you track conversion rates and overall sales performance. With this data, you can easily identify trends, optimize strategies, and boost profitability. 


  • Close Rates By Lead Source & Destination

    • Filters: Date Range (>= Date From, <= Date To)

    • Use Case: Identify which lead sources and destinations are most effective in closing sales.

  • Close Rates By Lead Source Group

    • Filters: Date Range (>= Date From, <= Date To)

    • Use Case: Determine which lead sources are most effective in converting prospects to customers to enhance marketing efforts.

  • Close Rates By User

    • Filter: Date Range (>= Date From, <= Date To)

    • Use Case: Measure individual performance by evaluating close rates to identify areas for training and development.
